The Problem
The care was excellent. The gap was in how it felt.
Memory care communities routinely deliver skilled, compassionate care — and still lose families to early move-outs, negative reviews, and eroded trust. The problem isn't the care quality. It's the experience gap: what staff know and do versus what families see, hear, and believe.
Poor communication drives more move-outs than poor care. Staff burn out and leave because hard conversations go unsupported. Referral pipelines stall because families don't have language to recommend a community they only half-understood. The gap needed a name, a framework, and a brand that could carry it to the operators who needed it most.
The insight that shaped everything
"The quality of care and the experience of care are not the same thing. Closing that gap is where trust lives."
Before & After
From concept to credible, live presence.
Memory Care Project was built from scratch — no existing brand, no website, no framework. What existed was deep domain expertise, lived family experience, and a clear point of view on what memory care communities were getting wrong. The work was to make all of that visible and usable.
Starting Point
- No brand, no website, no digital presence
- No name for the framework or methodology
- No structured way for families to self-assess their situation
- No clear articulation of what made this approach different
- Two audiences (families and operators) with no distinct pathways
- Expertise that existed only in conversation — not on the page
What Was Built
- Live brand with name, positioning, and visual identity
- The 5 Steps Method — named, structured, and publicly documented
- Free family assessment tool at memorycareproject.vercel.app/assessment
- Clear positioning: closing the family experience gap
- Separate pathways for families in crisis and operators seeking change
- Four distinct service tiers with scoped deliverables
The Framework
Five pillars. One named methodology.
A core part of the brand work was making the methodology concrete and ownable. The 5 Steps Method gives operators a shared language for the work — and gives families a way to evaluate whether a community is taking experience seriously.
| Pillar | What It Addresses | Why It Matters |
|---|---|---|
| 01 · Communication | Proactive touchpoints that keep families informed; structured support for difficult conversations | The #1 driver of early move-out is families feeling left out — not care quality |
| 02 · Trust | Transparency, follow-through, and treating families as partners rather than problems | Trust is built in small moments — and destroyed in single ones |
| 03 · Education | Dementia literacy for families; skills and resilience training for direct care staff | Informed families escalate less. Trained staff stay longer. |
| 04 · Engagement | Meaningful connection between families, residents, and care staff across the full journey | Families who feel present become a community's most credible referral source |
| 05 · Responsiveness | Systems ensuring no concern goes unanswered and no staff member feels abandoned under pressure | Speed and consistency of response is what families remember most |
What Was Delivered
A live brand and two working tools.
This engagement didn't end with a strategy deck. It ended with a live site, a functional assessment tool families can use today, and a platform in active development. Every deliverable was built, not recommended.
Brand & Positioning
Name, visual identity, messaging hierarchy, and the core positioning statement — "closing the family experience gap" — built to work for both family and operator audiences.
Live Website
Full site at memorycareproject.vercel.app — structured around the 5 Steps Method, four service tiers, founder story, and Calendly-integrated booking. Built and deployed during the engagement.
Free Family Assessment
A structured self-assessment tool at /assessment — helping families evaluate their situation and take a first step before any sales conversation. Provides real value before the relationship begins.
In Development
Staff Observation & Family Communication Platform
A purpose-built web application reducing documentation burden while improving the quality and consistency of family updates — extending the methodology into the daily operations of the community. Built on the same technical foundation as the live site.
How We Got There
Strategy first. Story second. Build third.
Mapped the two audiences — families in crisis and operators seeking change — and developed distinct messaging for each. Defined "the family experience gap" as the ownable concept the entire brand would anchor to.
Structured the 5 Steps Method from existing expertise — naming and sequencing the pillars so they were teachable, referenceable, and differentiated from generic memory care consulting language.
Built the site structure around how each audience makes decisions, not around a service list. Every section has a single job and a single reader in mind.
Built the free family assessment as a live tool — not a PDF download. Began development of the staff observation and family communication platform as a natural extension of the methodology into community operations.
